Commercial gas records

The right record for the equipment and the work.

If you are an employer or self-employed, the law requires the gas appliances, installation pipework and flues at a workplace under your control to be maintained in a safe condition. A written record shows when each appliance was last inspected and what was found.

We inspect the installation and issue the record that matches the equipment and the work: a CP42 for commercial catering, a CP15 for boilers and other non-domestic appliances and plant, or a CP16 for the testing and purging of gas pipework. We confirm which records apply before the visit.

Gas work is carried out under our Gas Safe registration, number 629080. If you smell gas, turn off the supply if it is safe to do so and call the National Gas Emergency Service on 0800 111 999 before contacting us.

Which records we issue

The commercial gas records we issue.

The record depends on the equipment and the work. These are the ones customers ask us for most.

For gas cooking equipment in commercial kitchens. We inspect the appliances, the gas supply to them, and the ventilation and gas interlock that go with them.

  • Gas catering appliances inspected

On the day

What happens on the visit.

We agree access and timing with you first, around trading hours, residents or term dates. The engineer inspects the gas appliances, flues and pipework in scope and explains the findings on the spot.

If an appliance is unsafe, the engineer follows the Gas Industry Unsafe Situations Procedure. With your permission, the appliance is disconnected or its gas supply turned off, and it is labelled and recorded on a written warning notice. Any further work is quoted separately and nothing is done until you authorise it.

  • Access and timing agreed in advance
  • Appliances, flues and pipework inspected
  • Catering ventilation and gas interlock checked
  • Findings explained on the spot
  • Further work quoted separately and only done with your authorisation
How often

How often are checks due?

For most commercial gas appliances the law sets no fixed interval. HSE guidance says the frequency of inspection and servicing should follow the manufacturer’s recommendations and, as a general rule, treats an annual inspection as a reasonable minimum. We agree the frequency for your equipment before the programme starts.

  • Follow the manufacturer’s recommended frequency
  • Annual inspection as a reasonable minimum, in HSE guidance
  • Pipework tested after any work that could affect its gastightness
  • Frequency agreed for your equipment, not a standard assumption

Gas safety record questions

Frequently asked questions.

If a record is due or you are not sure which one you need, call us or send the details and we’ll tell you.

How often does a commercial gas appliance need checking?

For most commercial gas appliances the law sets no fixed interval. HSE guidance says to follow the manufacturer’s recommendations and, as a general rule, treats an annual inspection as a reasonable minimum. Heavily used equipment or your insurer’s terms can mean more frequent visits. We agree the frequency for your equipment.

Does a commercial kitchen need a gas safety certificate?

The employer or self-employed person in control must keep the kitchen’s gas appliances, pipework and flues safe, and HSE guidance treats an annual inspection as a reasonable minimum. HSE also expects the gas supply to be interlocked with the mechanical ventilation, so the gas shuts off if the ventilation fails. We inspect the installation, including the interlock, and issue the catering gas safety record (CP42).

Do landlords of commercial premises need gas safety records?

The duty to keep gas appliances, pipework and flues safe falls on the employer or self-employed person who controls the workplace. Check your lease to see who is responsible for which plant. We can inspect the appliances and issue the records to whoever holds that responsibility.

What is the difference between a CP12 and a commercial gas safety record?

“CP12” is the informal name still used for the landlord gas safety record. It covers residential accommodation, which HSE says includes hotels, guest houses and staff accommodation, and the check is due every 12 months. Commercial premises are covered by the duty to keep gas appliances safe. We issue CP42 records for commercial catering, CP15 records for non-domestic appliances and plant, and CP16 records for gas testing and purging.

What happens if an appliance fails?

The engineer follows the Gas Industry Unsafe Situations Procedure. With your permission, an unsafe appliance is disconnected or its gas supply turned off, it is labelled, and you get a written warning notice. Any repair is quoted separately and nothing further is done without your authorisation.

Can you inspect outside opening hours?

We plan inspections around trading hours, service, residents and term dates, and agree the time with you in advance.

What should I do if I smell gas?

Turn off the supply if it is safe to do so and call the National Gas Emergency Service on 0800 111 999 before contacting us.
